HUBs

HUBs are an integral feature of Dekko, encompassing VAULT, SIGN, CHAT and MAIL. HUBs can be used to isolate teams, groups, projects, etc. - whatever you need! When operating inside a HUB, nothing can be sent outside, and group members and their permissions can be tightly controlled. HUBs can also be managed by tenancies.

When a file is uploaded to Dekko it belongs to a HUB:

Files are not automatically available to users as soon as they are uploaded to a HUB. Files and folders must be shared with members of the HUB as the content owner, and then it is accessible to other parties. Individual permissions can be set for each recipient:

Creating HUBs

To create a HUB:

  1. Press the create HUB button:


     

  2. Give the HUB a name. If you have the tenancy manager role on your account you will have the option to assign the HUB to a tenancy:



    To add branding press ‘Advanced settings’. Refer to the ‘Branding’ section on this page.

  3. To finish press ‘Create HUB'. You can now start inviting users to your new HUB!

Branding

Branding your HUB allows you to:

  • Replace the DEKKO logo in the Dekko interface

  • Enable and disable feature availability

  • Customise the HUB’s notification message

  • Customise the HUB’s invite message

You can set branding when you create a HUB and also adjust it later in the HUB settings menu.

To set HUB branding:

  1. Press ‘Advanced settings’ after you have given your HUB a name. The branding window will open:


     

  2. To set a logo press ‘Browse’ and select an image, then crop it as appropriate:


     

  3. Set the HUB’s feature availability and then adjust the invite and notification templates as needed. You can send a test message to your email inbox by pressing ‘Send test mail’.

  4. To finish, press ‘Create HUB’. You can make chages to HUB branding at any time by selecting the settings dropdown on your profile and then navigating to the ‘HUB settings’ tab:


Invites

Before inviting people to your HUB, it is important to understand member visibility types and HUB roles.

HUB user visibility

HUBs have three different member types:

External members can only be seen by members who are Visible to External. They cannot see other external members. An example use case would be adding a customer to a Hub where you do not want them to see other customers.

Visible to External members can be seen by all other Hub members regardless of type. An example use case would be using this type for an employee in circle that is visible to both customers and managers.

Invisible to External members can only be seen by non-external members. An example use case would be for a manager that can view content in a Hub and be seen by employees, but not by customers.

You can change the visibility setting of users at any time after they accept your invite.

Individual invites

Before sending invites be sure that you have selected the right HUB!

To send an invite to an individual:

  1. Press the ‘Invite’ button - the invite panel will open:



    Using this panel you can invite fellow Dekko users and non-users.

  2. Enter the name and email address of the invitee. If you finish typing their name or email address and this dropdown appears, it means they are already a user:



    If they are not, an invite will be sent to their email inbox for acceptance.

  3. Choose the visibility type for the invitee and their invite permission. You can adjust these settings later if necessary.

When your HUB invite has been accepted you will receive a DekkoMail message. Once and individual is part of your HUB, you can start sharing files and folders with them.

Mass invite

If you need to invite a large group of users to a HUB you can use the mass invite function. Mass invites are performed using CSV files (Don't feel scared, it's very easy!)

To send a mass invite:

  1. First, open Microsoft Excel and fill the first column with the addresses of users you want to invite:


     

  2. Save the spreadsheet as a CSV file:


     

  3. Return to Dekko and press the ‘Invite’ button, then select the ‘Mass invite’ tab on the invite panel:


     

  4. Press ‘Upload emails’ and then select the CSV file you just created. An invitee list will be drawn from the file and displayed:


     

  5. Choose the visbility type for the invitees and their invite permission. You can adjust these settings later if necessary.

  6. Press ‘Send invitation’. A confirmation message will then be displayed:


Registration links can be used in situations where you want easily email an invite to multiple people, or are faced with Dekko invites being filtered.

To send a registration link:

  1. Go to your profile and then HUB settings. Select the HUB you want to invite people to.

  2. Uncheck the ‘Disabled’ option for the invite type you want to send.

  3. Press the ‘Copy’ button. The link will be copied to your device’s clipboard:


     

  4. Paste the link in to the medium you want to use to send it. Double check the recipients before you send it!

  5. Recipients will be added in to the HUB belonging to the link when they finish registration.

It is good practice to refresh invite links periodically if they are being transmitted over generally untrusted channels such as email. To refresh a link navigate to the specific HUB’s settings and press ‘Refresh’:

Accepting HUB invites

As a Dekko user

If you are already a Dekko user HUB invites are sent internally on the application.

To accept HUB invites:

  1. The red indicator on the notification bell indicates that you have a pending HUB invite(s). Press the bell, the pending invites window will open:


     

  2. Tick or untick invites you want to accept, then press ‘Accept’:



    The HUB(S) will then be available to select:


As a non-Dekko user

If you are sent an invite to Dekko it will be delivered to your email inbox. Be sure to check notification or spam folders, as aggressive email filtering systems can place Dekko invites in to them.

To accept Dekko invites:

  1. Click the link in the email:


     

  2. Dekko will open in your web browser. Enter your details and then press ‘Register’. You may need to enter an SMS verification code if you received one and asked to do an inbox verification.


     

  3. Press ‘Register’ to finish.

HUB management

HUB user visibility and permissions

After users join your HUB you can adjust their visbility and permissions.

To do this:

  1. Open the HUB settings tab and select the HUB you want to make changes to, then ‘User management’:


     

  2. Make any necessary changes. They will be applied instantly.

    If you grant the ‘Admin’ permission to another user they will be able to access all HUB settings that you can see (branding, user management, registration links and audit logs).

Removing HUB users

To remove users from a HUB:

  1. Follow the steps described above to get to the user management section.

  2. Press the X button in the ‘Remove from HUB’ column next to the user you want to remove.
